Guided call intake

Answer, and the formfills itself.

The intake is a script, not a blank form. It asks the next question your business needs, skips the ones it already knows, and writes the note for you when the call ends.

Script: "Is this the first time you're visiting us, Pooja?"

How it works

Four moves, one call.

  1. 01

    Phone number first

Type the number. If they have called before, their name, history and preferences are on screen and the script skips what it knows.

  2. 02

    Questions as chips

Each answer is a chip with a key on it. Yes or no is Y or N; a date is Today, Tomorrow or a weekday.

  3. 03

    Only what applies

“Relation to patient” appears only when the caller is not the patient. That is a rule in your Blueprint, not code.

  4. 04

    One key to finish

The outcome decides the stage, whether a follow-up is created and which email goes out. The note is written from the answers.

Contacts

One record per person.

Every enquiry, booking and call for a phone number lands on the same contact, so the next person who picks up sees the whole story.

  • Returning callers recognised

Look-up by phone number as you type. Known details prefill the script and are never asked twice.

  • Duplicates merged, history kept

Two records for the same person merge into one, with every enquiry and booking intact.

  • What people always ask for

“Always Dr Mehta”, “mornings only”, “never a Saturday”: remembered on the contact and offered at the next booking.

  • Do not contact, honoured

A contact who asked not to be contacted is respected everywhere messages are sent.

During the call

Built for a hand on the phone.

  • Park and resume

A call can be parked mid-way and picked up where it stopped when they ring back.

  • Every step revisitable

Go back with the arrow keys; a held slot is released the moment another is chosen.

  • Walk-ins in one button

The next free slot for a service from now, counted like any other enquiry.

  • Your stages, moving themselves

Booking, attending or missing a visit moves the enquiry to the stage you named, with the reasons you require.

Questions

Asked before buying.

How little typing, really?
On a returning caller who books: the phone number. On a new caller, also their name. The rest is chips, a slot and an outcome key.
Does it work on a tablet or phone?
Yes. The portal is responsive and installs as an app on a phone or tablet. It is built keyboard-first because that is what a receptionist has.
Is the note written by AI?
No. It is assembled from the answers using your Blueprint's own wording, so it says exactly what was asked and answered. You can edit it, and you never have to.
